Email Management AI Assistant
It reads your inbox so your team doesn't have to.
Sorts incoming messages, files attachments, drafts replies, and escalates what matters. Works inside Outlook or Gmail. No new tool for your team to learn.
What it does
Reads and categorizes every incoming email.
The AI understands what each message is (quote request, complaint, status update, application, internal forward) and routes it to the right folder, label, or person. Works on shared inboxes too.
Pulls attachments out and puts them where they belong.
Invoices into one folder, CVs into another, contracts into a third. Files land in OneDrive or Google Drive, named consistently, ready to find.
Drafts replies in your tone of voice.
Trained on your historical replies. Either sends automatically for routine cases, or queues drafts for one-click approval. You decide which.
Flags what needs human attention.
Urgent, sensitive, or unusual emails get pulled to the top of the inbox with the context already attached. Nothing important gets buried under noise.
How it works
Connects to your Outlook or Gmail account through the standard Microsoft 365 or Google Workspace integration, using the same authentication your IT team already trusts. The AI reads each new message and any attachments, classifies it, takes the appropriate action, and learns from how you correct it. Runs 24/7 in the background.
Incoming email
Every message hits the shared inbox.

This is built for you if…
- You're getting 100+ customer emails a day and response time is hurting your conversion rate.
- Your back office spends 1–2 hours a day saving attachments into the right folders.
- Half your inbound is in one language, half in another, and you can't keep up.
- Your customer service team is buried in repetitive "where's my order" emails.
- Quote requests, applications, and invoices all land in one inbox and someone has to sort them by hand.
- You're about to hire another admin person just to keep email from piling up.
Works inside the email you already use
Works inside Microsoft and Google's email infrastructure. No new client for your team to install. If you're on Outlook today, you're still on Outlook tomorrow, just with less work to do in it.
What changes for you
Inbox time, cut in half.
Teams spending 3–4 hours a day on email typically drop to 1–2.
Routine questions handled automatically.
No human needed. Every email is read, classified, and either actioned or escalated.
Response times in minutes, not days.
Routine replies go out in under 5 minutes. Customers notice.

Case study
250 customer emails a day across three languages. Two admins sorting, replying to status questions, and filing PODs into OneDrive folders.
| Problem | Status questions, manual POD filing, and multilingual routing: all done by hand, all day. |
| What we built | Classify → auto-reply or route to dispatcher with full context → file PODs to the right customer folder with consistent naming. |

Common questions
Will it send wrong replies to my customers?
Not unless you let it. Every reply category has a confidence threshold and an approval mode. New deployments typically run in draft mode for the first 2–4 weeks: the AI prepares replies, a human clicks send. Once accuracy is proven, you can switch routine categories to auto-send. Categories you never want fully automated can stay draft-only forever.
What if our processes are non-standard?
That's the normal case. We build classification and routing rules to match how you actually work, not a generic template. Setup includes 2–3 working sessions where we map your real email patterns.
How long does setup take?
Typically 2–4 weeks from kickoff to first running version.
What email systems does it work with?
Outlook, Microsoft 365, Gmail, and Google Workspace. If you're on a different IMAP/Exchange setup, talk to us. Most are supported.
Where does our email data go?
Email data stays on EU-hosted servers (ours or, if you prefer, your own). The AI processing uses large language models from US-based providers (OpenAI, Anthropic, Google). We sign DPAs with the providers and pass them on to you. GDPR-compliant throughout. If your compliance team requires fully EU-based or on-premise inference, we can configure that. It costs more and we'll quote separately.
What if it makes a mistake?
Each action has a confidence score. Below the threshold, it routes to a human with full context. You also get a weekly accuracy report showing exactly where it's getting things wrong, and we adjust.
Can it learn our tone of voice?
Yes. We train it on a sample of your past replies (typically 200–500 examples). Reply style is configurable per category: formal for legal, direct for support.
What about languages?
100+ languages, out of the box. Hungarian, English, German, Romanian, Slovak, and most European languages have been deployed without extra configuration.
